When a WWCC Expiry Date Lived in the Director’s Calendar

By Talent Now

When I first started Talent Now, I spent a lot of time visiting early learning centres and sitting in directors’ offices, learning how they managed their casual workforce.

One thing I remember clearly was seeing educator compliance being managed everywhere around me. Lists of Working with Children Check expiry dates pinned to walls. Dates written in calendars. Notes reminding someone to follow up an educator before something expired.

It worked – but it relied heavily on people remembering.

An educator’s Working with Children Check was approaching expiry? Someone had to notice the date, chase the educator, conduct the new check and update the records. And that was just one piece of documentation.

There was First Aid, CPR, Anaphylaxis, qualifications and other required records to keep current. Multiply that across an entire workforce, including casual educators who might only occasionally work at the service and it was an enormous administrative burden.

More importantly, so much of the process depended on someone noticing that something needed to be done and remembering to do it.

Paperwork and office desk representing manual administration before digital staffing technology

When we developed Talent Now, we saw compliance as part of the staffing problem technology could help solve.

Rather than simply storing educator documents online, we wanted the platform to actually use the information attached to them. Educator documentation could sit against their profile, expiry dates could be recorded and reminders could be sent as those dates approached.

Importantly, when required documentation expired, the platform could prevent an educator from working until it was current again.

That distinction still matters.

Digitisation means putting the information online. Automation means the system actually does something with it.

Instead of a director needing to remember that an educator’s First Aid certificate was due to expire next month, the system could remember.

Instead of discovering an expired document when an educator arrived for a shift, technology could identify the issue beforehand.

Over time, the possibilities have continued to grow – along with the amount of documentation required in our sector!

Talent Now’s systems can now help services manage increasingly complex workforce and compliance requirements, maintain records, flag missing or expiring information and build compliance checks directly into everyday staffing processes.

Good systems can also integrate workforce information directly with payroll and other platforms, reducing double handling and the manual data entry that can so easily lead to errors.

Today, expectations around child safety, early childhood workforce compliance, record keeping and regulatory requirements are greater than ever.

That makes robust systems even more important – not because technology removes responsibility from people, but because it can take care of the repetitive monitoring and administration that once consumed so much of their time.

There will always be responsibilities that require human judgement and oversight. Technology shouldn’t replace that.

But remembering that Mary’s document expires next Thursday shouldn’t need to be one of them.

That’s exactly the sort of work technology should be doing for us.
