Casual staffing doesn’t have to mean new faces every day

By Talent Now

Most early learning service rely on casual educators – whether it’s to cover leave, illness or other unexpected absences. Finding someone to fill the shift is only part of the challenge.

Every unfamiliar educator needs to learn routines, settle into the team, build relationships with children and earn the trust of families. While occasional new faces are inevitable, constantly starting from scratch can make maintaining continuity much harder.

That’s why many services are changing the way they think about casual staffing. Rather than simply filling vacancies, they’re building trusted teams of casual educators who return regularly and become familiar faces.

Workforce flexibility remains essential in early childhood education. Increasingly, however, services are recognising that flexibility doesn’t need to come at the expense of consistency.

Platforms such as Talent Now make it easy to rebook educators a service already knows and trusts, allowing centres to build a pool of preferred casuals instead of relying on a revolving door of unfamiliar educators.

The result is less time spent onboarding educators, greater confidence for permanent teams and a better experience for children, families and staff.

Trusted educators

Ryoko first connected with Mi Kids through Talent Now in 2020 after completing her Certificate III.

Years later, she continues to work with the service every week. She attends meetings, understands the centre’s routines and culture, and has become a familiar and valued part of the team.

  • She knows the children.
  • The families know her.
  • The team knows her.

Importantly, Ryoko has chosen to remain casual. The flexibility suits her lifestyle, while her ongoing relationship with Mi Kids gives the service access to a trusted educator who already understands its environment and expectations.

Her story highlights something many centres are discovering: casual educators do not need to feel temporary or disconnected. With the right relationships in place, they can become an extension of the team.

While some educators choose to remain long-term casuals, others use casual work as the beginning of a longer career journey.

Rachana ECT Grad

Rachana first connected with Mi Kids through Talent Now more than six years ago as a casual Certificate III educator.

What began with a casual shift developed into a lasting relationship with the service. Rachana eventually joined the permanent team while continuing her studies.

After completing her Diploma and university degree, she recently graduated as an Early Childhood Teacher.

Reflecting on her journey, Mi Kids shared:

“Six and a half years ago, a quiet and charming young Cert III educator accepted a casual shift at Mi Kids. Since then, Rachana has become a beloved and integral part of the team.”

Ryoko and Rachana followed different paths, but both began in the same way: by connecting with Mi Kids through Talent Now and building a trusted relationship with the service over time.

Talent Now does more than help fill today’s vacant shift. We actively source, screen and recommend experienced educators, giving services the opportunity to build a trusted pool of preferred educators over time.

When an educator proves to be a great fit, the centre simply adds them to Favourites and can offer future shifts directly to them before opening them to the wider Talent Now network.

Today, more than 95% of shifts are posted first to preferred educators, demonstrating how services are building long-term relationships with educators they know and trust.

Flexibility will always be essential in early childhood education. With the right approach, however, flexibility and consistency can go hand in hand.

By combining permanent teams with trusted casual educators and the right technology, services can reduce recruitment effort while creating greater continuity for children, families and educators.

Because consistency doesn’t happen by chance. It comes from working with educators who know your service, understand your routines and keep coming back.
